Understanding the Role of AI in HR & People Ops
Nova is designed to assist teams in streamlining processes, providing insights, and supporting decision-making in HR, People Ops, and talent management. However, AI is not a replacement for human judgment. The best results come from using Nova as a supporting tool, not as the sole decision-maker.
1. AI Is Not Perfect—Human Oversight Is Required
Nova leverages AI to provide analysis, suggest next steps, and generate insights, but AI is not infallible. It may occasionally:
Make assumptions that do not fully align with your organization's policies or practices.
Provide insights that a human should validate before acting on them.
Generate responses that seem logical but may not be factually grounded.
For any policy changes, process updates, or people-related decisions, we strongly recommend human review before implementation.
2. AI Should Never Be Used for Employee or Candidate Scoring
Nova is not designed to grade, rank, or score employees or job candidates. We explicitly do not support:
Assigning performance ratings based on AI analysis.
Evaluating or ranking job applicants without human review.
Using AI-generated insights as a replacement for manager feedback or coaching.
All performance evaluations and hiring decisions should be grounded in human expertise and judgment to ensure fairness, context, and accuracy.
3. Data Usage & Privacy
All files and user information are stored in Europe.
Prompts may be logged to improve the experience for you, but they are not used to train AI models, and our subprocessors do not receive access to logged queries.
Files shared with your organization remain accessible to everyone within your org.
Files used for individual analysis are only accessible to you and are automatically removed after 15 minutes of inactivity.
4. AI Provides Guidance, Not Policy
Nova is a conversation starter, not a final authority. Any AI-generated insights should be considered as food for thought, not official policy or compliance directives. Always verify recommendations with your HR team, legal advisors, or leadership before implementing any process changes.
